By accessing and using ConvertMyInvoice ("the Service"), you accept and agree to be bound by the terms and provision of this agreement. If you do not agree to these Terms of Service, please do not use our Service.

We reserve the right to update or modify these terms at any time without prior notice. Your continued use of the Service following any changes constitutes acceptance of those changes.

2. Description of Service

ConvertMyInvoice provides an automated invoice data extraction service that:

• Extracts line items, quantities, prices, and other data from PDF invoices
• Exports extracted data in multiple formats (CSV, Excel, JSON, XML)
• Processes invoices up to 5 pages in length
• Offers 10 free extractions per day per IP address
• Deletes uploaded files immediately after processing

The Service is provided "as is" and may be modified, suspended, or discontinued at any time without notice.

3. Usage Limits and Fair Use

Free Tier: Users receive 10 free invoice extractions per day, tracked by IP address. This limit resets every 24 hours.

File Restrictions:

• Maximum file size: 1MB per upload
• Maximum pages: 5 pages per invoice
• Accepted format: PDF only

Prohibited Activities: You agree not to:

• Use automated scripts, bots, or scrapers to access the Service
• Circumvent usage limits or rate limiting mechanisms
• Upload malicious files or content that violates laws
• Attempt to reverse engineer, decompile, or hack the Service
• Resell, redistribute, or commercialize the Service without authorization
• Use the Service in any manner that could damage, disable, or impair our infrastructure

4. User Responsibilities

You are responsible for:

• Ensuring you have the legal right to upload and process the invoices you submit
• Complying with all applicable laws and regulations when using the Service
• Maintaining the confidentiality of any data you download from the Service
• Verifying the accuracy of extracted data before using it for business purposes
• Not uploading files containing personal data of third parties without proper authorization

You acknowledge that our Service uses AI technology which may occasionally produce inaccurate results. You agree to verify all extracted data before relying on it for critical business decisions.

5. Data Privacy and Security

Data Processing: Uploaded PDF files are processed in real-time using AI models. Files are transmitted securely and deleted immediately after processing is complete.

No Data Retention: We do not store, archive, or retain copies of your uploaded invoices or extracted data on our servers. All data is deleted immediately after processing.

Third-Party Processing: Invoice extraction is powered by third-party AI providers. Your files are processed with zero data retention (ZDR) compliant providers.

6. Intellectual Property

Service Ownership: ConvertMyInvoice, its design, code, logos, and branding are owned by us and protected by intellectual property laws. You may not copy, modify, or distribute any part of the Service without written permission.

Your Content: You retain all rights to the invoices and data you upload. By using the Service, you grant us a temporary, non-exclusive license to process your files solely for the purpose of providing the extraction service.

Extracted Data: You own all extracted data provided by the Service. We claim no ownership or rights to your data.

7. Disclaimers and Limitations

No Warranty: The Service is provided "as is" without warranties of any kind, either express or implied. We do not guarantee that:

• The Service will be uninterrupted, secure, or error-free
• Extracted data will be 100% accurate or complete
• The Service will meet your specific requirements
• Any errors or defects will be corrected

Accuracy Disclaimer: While we strive for high accuracy, our AI-powered extraction may occasionally misinterpret invoice data, especially with:

• Unusual or non-standard invoice formats
• Handwritten invoices or poor-quality scans
• Complex multi-currency or multi-language documents

User Verification Required: You are responsible for verifying the accuracy of all extracted data before using it for accounting, tax, or other business purposes.

8. Limitation of Liability

To the maximum extent permitted by law, ConvertMyInvoice and its operators shall not be liable for any:

• Indirect, incidental, special, consequential, or punitive damages
• Loss of profits, revenue, data, or business opportunities
• Damages resulting from use or inability to use the Service
• Damages arising from inaccurate or incomplete data extraction
• Unauthorized access to or alteration of your data during transmission

In no event shall our total liability exceed the amount you paid for the Service in the past 12 months (which, for free users, is zero).

9. Indemnification

You agree to indemnify, defend, and hold harmless ConvertMyInvoice, its operators, employees, and partners from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:

• Your use or misuse of the Service
• Violation of these Terms of Service
• Infringement of any third-party rights
• Any content or data you upload to the Service

10. Termination

We reserve the right to suspend or terminate your access to the Service at any time, without notice, for:

• Violation of these Terms of Service
• Abuse of the Service or usage limits
• Fraudulent, illegal, or harmful activity
• Any reason we deem necessary to protect the Service or other users

You may stop using the Service at any time. Upon termination, any rate limit data associated with your IP address will be retained for 24 hours for security purposes.

11. Third-Party Services

ConvertMyInvoice uses third-party AI providers (including but not limited to Anthropic Claude) to process invoice data. While we select providers with strong privacy and security practices, we cannot control their operations.

Any links to third-party websites or services are provided for convenience only. We are not responsible for the content, privacy practices, or terms of any third-party sites.

12. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the jurisdiction where ConvertMyInvoice is operated, without regard to conflict of law principles.

Any disputes arising from these terms or your use of the Service shall be resolved through binding arbitration or in the courts of the applicable jurisdiction.

13. Changes to Service

We reserve the right to modify, suspend, or discontinue the Service (or any part thereof) at any time, with or without notice. We may also change pricing, features, usage limits, or supported formats at our discretion.

14. Severability

If any provision of these Terms of Service is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect. The invalid provision shall be replaced with a valid provision that most closely reflects the intent of the original.

15. Entire Agreement

These Terms of Service, together with our Privacy Policy, constitute the entire agreement between you and ConvertMyInvoice regarding use of the Service, superseding any prior agreements.
