Is ConvertMyInvoice really free?
Yes! Our free tier gives you 10 invoice extractions per day without requiring signup. Each PDF can be up to 5 pages and 1MB in size. Need more? Contact us for custom plans.
Do I need to create an account?
No! Our free tier requires no signup. Just visit the homepage and start uploading your invoices immediately. Optional accounts are available for premium features in the future.
How do I get started?
Simply visit our homepage, drag and drop your PDF invoice (or click to browse), select your preferred export format (CSV, Excel, JSON, or XML), and click "Extract Data". Your result will be ready in seconds and download automatically.
What are the usage limits?
Free tier: 10 extractions per day, up to 5 pages per PDF, 1MB maximum file size. Need higher limits? Contact our support team to discuss custom plans for businesses.
What data gets extracted from my invoices?
We extract all line items from your invoice including:
- Position numbers
- Article/SKU numbers
- Item descriptions (including multi-line descriptions)
- Quantities
- Unit prices
- Total prices
What invoice formats are supported?
Our AI-powered extraction works with most standard invoice PDFs from any vendor or accounting software (QuickBooks, Xero, Sage, SAP, etc.). We support invoices in multiple languages and various table layouts.
Can you extract invoices with complex layouts?
Yes! Our AI is trained to handle:
- Multi-line item descriptions
- Invoices without position numbers
- Various decimal formats (periods, commas)
- Different column arrangements
- Multiple currencies
What if my invoice has more than 5 pages?
The free tier supports invoices up to 5 pages. For larger invoices or bulk processing, please contact us to discuss a custom plan that fits your needs.
What happens if extraction fails?
If our AI cannot extract data from your invoice (rare cases with non-standard formats), the extraction will fail gracefully. You can try again or contact support with your invoice for assistance. We continuously improve our extraction models.
What file formats can I export to?
You can download your extracted data in one of four formats (you select your preferred format before extraction):
- CSV - Compatible with Excel, Google Sheets, and any spreadsheet software
- Excel (.xlsx) - Native Excel format with proper formatting
- JSON - Perfect for developers and API integrations
- XML - Standard structured format for enterprise systems
Can I import the CSV into Excel or Google Sheets?
Absolutely! The CSV format is designed to work seamlessly with Excel, Google Sheets, and other spreadsheet software. Just open the CSV file or import it directly. We also provide a native Excel (.xlsx) file for best compatibility.
Is the JSON format suitable for developers?
Yes! The JSON output includes structured data with all line items in an array format, making it perfect for:
- API integrations
- Custom accounting software
- Data processing pipelines
- Database imports
What does the XML format look like?
The XML format provides a hierarchical structure with proper tags for line items and fields. It's ideal for enterprise resource planning (ERP) systems, accounting software integrations, and automated workflows.
Is my invoice data secure?
Absolutely. Your security is our top priority:
- Zero data retention: Files are immediately deleted after processing
- Encrypted transfers: All data is transmitted over HTTPS
- No storage: We never save your invoice data
- Germany-based servers: GDPR compliant infrastructure
Do you store my uploaded invoices?
No! Your invoices are processed in real-time and immediately deleted after extraction. We only store hashed IP addresses for 24 hours for rate limiting purposes. No invoice content is ever saved.
Who can see my invoice data?
Nobody. Your invoices are processed by our AI service and immediately deleted. Our staff never have access to your uploaded files. We use zero data retention (ZDR) AI providers that don't train on your data.
Are you GDPR compliant?
Yes! We are fully GDPR compliant. Our servers are located in Germany, and we follow strict data protection regulations including:
- Immediate data deletion
- Minimal data collection
- Transparent privacy practices
- User rights protection
What AI provider do you use?
We use Anthropic Claude Haiku via an AI Gateway with zero data retention (ZDR) policies. This means your invoice data is never used to train AI models and is not retained by the AI provider.

Can I use ConvertMyInvoice on mobile devices?
Yes! Our service is fully responsive and works on mobile phones and tablets. However, we recommend using a desktop for the best experience, especially when working with large invoices.
Is there an API available?
We are currently developing an API for developers and businesses. If you're interested in API access, please contact us to join our early access program.
Can I integrate ConvertMyInvoice with my accounting software?
Currently, we provide export formats (CSV, Excel, JSON, XML) that work with most accounting software. Direct integrations are coming soon. Check our Solutions page for industry-specific guides.
What happens if I hit the rate limit?
The free tier allows 10 extractions per day per IP address. If you hit this limit, you'll see a message and can try again the next day. For higher limits, contact us about custom plans.
How much does ConvertMyInvoice cost?

Why is my upload failing?
Common reasons for upload failures:
- File too large: Maximum 1MB for free tier
- Too many pages: Maximum 5 pages for free tier
- Invalid format: Must be a valid PDF file
- Rate limit: 10 extractions per day maximum
The extraction results look wrong. What should I do?
If the extracted data doesn't match your invoice:
- Check if your invoice has a complex or non-standard format
- Try a different invoice to verify the issue
- Contact support with your invoice (we'll keep it confidential)
How long does extraction take?
Most extractions complete in 5-15 seconds depending on:
- PDF page count
- Number of line items
- Server load
My download isn't working. Help!
If your file isn't downloading:
- Check your browser's download settings and pop-up blocker
- Ensure you selected a format before clicking "Extract Data"
- Try a different browser (Chrome recommended)
- Disable browser extensions that might block downloads
- Check your antivirus/firewall settings
